University revolution: new multifunctional devices starting soon!

On May 1, 2025, the University of Freiburg plans to switch to new multifunctional printers and copiers in its libraries. This change was announced today, April 15, 2025, and aims to provide the University's students and employees with modernized options for reproducing documents. Before final commissioning, the new devices are tested a few days in advance to ensure a smooth transition. The library employees do everything in their power not to disrupt ongoing operations uni-freiburg.de reported.

A key aspect of the new printing and copying options are the changes in payment methods. The previous payment via UniCard and library card is no longer necessary. Instead, university members must download the Kuario app to make print and copy payments. The app also provides better cost visibility and features to reduce paper consumption, such as double-sided printing and print job preview.

Kuario app and payment processing

Students are encouraged to download the Kuario app and familiarize themselves with its features before using the new devices. In addition to using the app, it is planned to set up payboxes for cashless payments without the Kuario app on some copiers. This system is supported by the KUARIO Smart Connector, a versatile hardware device that is also used as part of this transition. Loud kuario.com The Smart Connector can replace electronic coin or banknote validators and manage unattended devices.

The KUARIO Smart Connector is hardware agnostic, meaning it can transform disparate devices into cloud-ready self-service devices. This includes, but is not limited to, vending machines, coffee machines and washing machines. Mobile payments can be easily processed by scanning a QR code. In addition, an optional KUARIO RFID reader can be integrated, which enables transactions with various RFID cards and thus further improves payment options for university members.

In addition to the changes in the payment process, new regulations apply to the use of the devices. It is particularly important that use for business purposes by university employees is restricted and the existing copying authorizations lose their validity with the introduction of the new devices. All employees must apply for new copying permissions to access Ricoh multifunction devices. Step-by-step instructions are provided on the intranet. Applications for authorization can be sent collectively to kopierwesen@zv.uni-freiburg.de. Data protection regulations also restrict the reproduction of sensitive, personal documents on publicly accessible devices.
